Preparing your content.

Use what you already trust

Start with material that has already been through your service’s approval process: patient leaflets, procedure instructions, participant information sheets or local policies. If you would not hand it to a patient or a new starter, do not upload it.

Only add what you may use

Only add content that is yours or that you have permission to use. Content from national bodies or other organisations may have its own terms.

Keep patient information out

Your content should never contain information about individual patients. Remove names, dates of birth, NHS numbers and anything else that could identify someone before you upload.

One topic per document

Documents that cover one topic split into cleaner passages. If you have a long handbook, consider uploading its chapters separately.

Fill the gaps you know about

If patients often ask something your leaflets do not cover, write a short question-and-answer pair for it. Approved, specific answers beat the agent saying it does not know.

Keep it current

When a leaflet or policy changes, update it in Ostify too. Changing content sends a live agent back for review, which keeps what patients see in step with what you have approved.
